Terms of Service

1. What Groflex School OS is

Groflex School OS ("the Service") is a school management platform provided by Groflex ("Groflex", "we", "us") to schools ("you", "your school") for managing students, fees, attendance, results, and related records. By creating an account or using the Service, you agree to these terms on behalf of your school.

2. Accounts and subscriptions

A school signs up for a free 24-hour demo. After the demo, continued access requires payment. Groflex does not process card or online payments of any kind. Subscription payments are made directly to Groflex offline — by bank transfer, cash, or cheque — and are recorded manually by Groflex staff, which is what reactivates or extends your school's access. We never ask for or store card details.

You are responsible for keeping your account credentials confidential and for all activity that happens under your school's account, including actions taken by staff you invite.

3. Your school's data

Records you enter — students, guardians, fees, attendance, results, staff — are your school's own data. Groflex does not use it for any purpose beyond operating the Service for you, and does not sell it. You can export your data at any time by contacting Groflex, and it remains intact and accessible even if your subscription lapses — a closed access window locks the software, not your records.

4. Acceptable use

Use the Service only for legitimate school administration. Do not attempt to access another school's data, disrupt the Service, or use it to send communications (including fee reminders and announcements) other than genuine school-to-guardian correspondence.

5. Notifications to parents

Fee reminders, attendance alerts, payment receipts, and announcements are sent as push notifications to a parent's Groflex app, and kept in an in-app inbox regardless of whether the push itself is delivered. No third-party messaging service is used to send them — Groflex operates this notification system directly, on your school's behalf.

6. Suspension and termination

Groflex may suspend access for non-payment, misuse, or a breach of these terms. You may stop using the Service at any time. Either way, your school's data is retained and not deleted without your request — see our Privacy Policy for how long and why.

7. No warranty, limitation of liability

The Service is provided "as is." Groflex is a small team building this product actively — we work to keep it reliable, but do not guarantee uninterrupted availability. To the extent permitted by law, Groflex is not liable for indirect or consequential losses arising from use of the Service.

8. Changes

We may update these terms as the product changes. Continued use after an update means you accept the revised terms. Material changes will be communicated directly where practical.
